At ShaadiShop we put together so much information about venues: price quotes, availability, amenities, photos, and more. With all that info in-hand it’s time to start visiting venues. We’ve prepared this venue visit checklist so you can enjoy the visits!
{As You Enter}
- street entrance: easy-to-find?, quiet?, private? pretty?
- parking – spacious? covered? far walk?
- entrance or lobby – ceiling height, spacious, good place for photos? feels welcoming?
{Venues Space Layouts}
Ceremony: baraat path, mandap/arch, aisle, chairs, food and beverage stations, vidai location
Lunch layout: indoors or outdoors? Will it be chilly? Will you need sun umbrellas? Where will the buffet be setup? How much decor will you need? Distance of ceremony venue to lunch venue – long walk? short walk?
Cocktail hour layout: bars locations? cocktail tables? food? tables for escort cards and gift box? Is there a space to put signs and photos?
Reception layout: tables and chairs, stage, DJ booth and AV equipment, bars, cake table, head table, family tables, see their china, glassware, flatware, linens. Does the venue have screens outside the ballroom where your photos can be posted?
{Logistics}
- note the carpet and flooring
- grand entrances?
- dinner/meal service flow?
- how many tables per server? do servers have a uniform?
- where will the caterer’s satellite kitchen setup?
- check out the bathrooms for the ballroom
{Others}
- look at hotel rooms – standard, suite, suite where couple will be staying
- how’s the area surrounding the venue?
- if the venue has a lobby bar, is it cool/fun place to hang out?
- verify that the rain/weather back up option is in the contract
{Special Cases}
Indoor ceremony with ocean views: I went to an indoor ceremony at a venue where the ballroom windows faced the ocean. It was beautiful but the ceremony took place around sunset and the sun’s rays were uncomfortably glaring in everyone’s eyes during the whole ceremony. If you can, visit the venue at the same time you’re getting married.
Max capacity: If your guest count is close to max capacity for the ballroom/venue, ask about spacing in-between dinner tables.
